Ordering Function - WorkFlow and Document Management, Archives-Small IT staff
A franchise food company needed to associate orders, with pick tickets, bills of
lading and invoices. Orders were faxed in to the factory, scanned and associated
with a store number and an order number. As the order was picked, shipped and invoiced
each step of the process was managed through the work flow in the document library
minimizing errors in the ordering process and creating an audit trail. Future improvements
to include web based submission of orders directly eliminating fax and scan technology
as well as archiving of all past transactions.
Records and Archiving - Secure work flow, distributed team - No IT resources
An adoption agency needs to manage new adoption cases in a confidential and secure
environment. The case file had to be accessed by social workers, medical personnel,
and attorneys in the United States and overseas. The Portal Infrastructure, Directory
and Document Library provide a secure and always current status on adoption cases
for individuals who may never meet in person. Workflow on documents ensures all
recommendations and approvals occur as required, greatly expediting a long process.
Additionally, the infrastructure can be used to house the documents on 6,000 past
adoptions. The message board function can be used for adopting families to communicate
on issues that are unique to their situations. The archiving function can be used
by older adoptees to trace their heritage in a secure environment (network with
fellow adoptees from the same country orphanage)
Collateral Delivery - Marketing Communication, Reduced Cost, B2B - Large IT staff
A major electronics distributor has three distinct channels, one focused on IBM,
one focused on Sun, and one focused on OEMs. They wanted to improve the timeliness
and consistency of the communications with their channels and reduce the interaction
time and cost (copy review and approval, distribution of final collateral, etc)
of delivery and interaction with their Marketing Firm. By using a portal environment
and other Aspenware modules, the Marketing Firm, Distributor and Channels could
improve the consistency, and timeliness of all marketing communications while reducing
the cost. The arrangement solidifies the business to business arrangement between
the Marketing Firm and Distributor.
Association Applications-Massive information, Decentralized/Empowered Users
A national religious association with 200,000 members in over a 1,000 chapters wanted
to revamp the administration and delivery of information. Additionally they wanted
to manage content and documents via a web based application that could be accessed
by approximately 25 remote staff workers. Finally, they wanted to support the publishing
arm of their association using the same technology through E-Commerce capability,
and have secure environments for review of applicants for new positions in a Credentialing
Portal. Using the SyncPOINTS application each chapter can also have a richly featured,
customized site built on the Association template.
Grants and Contracts-Accountability Tracking A research organization needed to track
its application for grants for medical research and subsequent award of contracts
and progress through milestone achievements. The system needed to support several
thousand proposals and grants a year and needed to support electronic filing of
documents, web based accessibility, robust search, work flow on key milestones,
and complete archiving. The security and directory features of the portal infrastructure
and the Document Manager functions provide tracking of proposal creation, review,
approval, and compliance monitoring of the award.
